Gmail

Manage, draft, and search emails.

What it does

Reads and sends mail in a Google mailbox the business already uses. The difference from Send an email is that this reads too — an agent can look at what arrived and decide what to do about it.

What you need

An account with Gmail that you are entitled to authorise, and a moment in a browser. You do not need an API key: connecting sends you to Gmail's own sign-in and consent screen, and what comes back is an authorisation rather than a password. RAiN never sees your password, and the authorisation is held by our integration provider on our instructions — see the Integrations & Connected Accounts notice for what that means.

Connecting it

Connections belong to one project. A system built for one client never acts on another client's account, and a package handed to a business runs on theirs — so the same integration is connected again, separately, for each project that needs it.

  1. Open the project and stay on the Visual Editor tab.
  2. Open the Tools & Integrations rail on the right.
  3. Find Gmail and press Connect.
  4. Authorise in the window that opens, then come back. The rail will show it as connected.

The consent link is good for about twenty minutes. If you leave it and come back tomorrow, press Connect again rather than reusing the old tab.

To stop it, press Disconnect. That ends this project's access immediately. You can also revoke it from Gmail's own security settings, which works even if you never open RAiN again.

What an agent can do with it

22 actions are available once connected, 4 of which delete things and are marked where they appear. They appear in the tool list for this project only — a project that has not connected Gmail is never offered them.

Action What it does
gmail_batch_modify_messages Batch modify Gmail messages
gmail_create_email_draft Create email draft
gmail_delete_draft Delete Draft ⚠️ deletes things
gmail_delete_message Delete message ⚠️ deletes things
gmail_delete_thread Delete thread ⚠️ deletes things
gmail_fetch_emails Fetch emails
gmail_fetch_message_by_message_id Fetch message by message ID
gmail_get_draft Get Draft
gmail_get_attachment Get Gmail attachment
gmail_list_drafts List Drafts
gmail_move_to_trash Move to Trash
gmail_patch_label Patch Label
gmail_patch_send_as Patch send-as alias
gmail_reply_to_thread Reply to email thread
and 8 more, all listed in the rail

Tick the ones an agent may use, or choose one in an Action step to run it exactly as written with no model involved.

A worked example

A supplier emails invoices as attachments. An agent checks the inbox each morning, pulls the ones from known suppliers, reads the total off each with Vision, and files a summary for the accounts clerk.

When it goes wrong

Consent finished but nothing works. Check the connection shows active in the rail — a person who closes the tab half way leaves it pending.
